SmartChoice's Privacy Policy

This policy explains what personal information SmartChoice International collects through this website and in the course of our recruitment and consulting work, why we collect it, who we share it with and the choices you have. It applies to visitors to the site, to candidates who send us their details, and to the people we work with at client and supplier companies.

SmartChoice Solutions International Limited, trading as SmartChoice International, is an IT recruitment, consulting and nearshore staffing company registered in England and Wales under company number 13018655, with its registered office at 23 Porters Wood, St Albans, AL3 6PQ. Our head office is at 30 Churchill Place, Canary Wharf, London, E14 5RE, United Kingdom, and we have offices in Dubai, New York, Bucharest, Sofia and Krakow.
We are the data controller for the personal information described in this policy. If you have any question about it, email info@smartchoice-international.com or write to the London address above.
We collect personal information in four situations.
- When you contact us through the website: your name, email address, phone number, company and whatever you write in the message. If you use the team request form, we also keep the roles, seniority and skills you selected.
- When you apply for a role or send us your CV: your name, contact details, the CV itself and anything else you choose to include, such as your work history, qualifications, salary expectations and right to work.
- When you are a client, supplier or a business contact: your name, job title, employer and business contact details, together with the correspondence and documents needed to run the engagement.
- When you browse the site: technical information such as your IP address, browser, device, the pages you visit and how you reached us. See the section on cookies and analytics below.
We do not ask for, and would rather you did not send, special category information such as health, ethnicity or religion, unless a specific role legally requires it and we have told you why.
Under UK and EU data protection law we need a legal basis for each use. Ours are these.
- To answer your enquiry and give you the proposal or information you asked for. Legal basis: our legitimate interest in responding to people who contact us.
- To consider you for roles with our clients, or with SmartChoice, and to stay in touch about opportunities that match your profile. Legal basis: taking steps at your request before a contract, and our legitimate interest as a recruitment business. We will only send your details to a client with your agreement.
- To deliver and manage our services to clients, invoice, and meet our legal and accounting obligations. Legal basis: performance of a contract and compliance with the law.
- To understand how the website is used and to improve it. Legal basis: our legitimate interest in running a website that works. The Cookies and analytics section below explains what is set and how to block it.
- To send you occasional news about the technology hiring market, only if you have asked for it. Legal basis: consent, which you can withdraw at any time using the link in any email or by contacting us.
We never sell personal information. We share it only as far as we need to in order to do our job.
- SmartChoice offices in the UK, the UAE, the US, Romania, Bulgaria and Poland, so that the consultant closest to your market can help you.
- Clients, when you are a candidate and have agreed to be put forward for a role.
- Service providers who process data on our instructions: the hosting platform that serves this website, the database where form submissions are stored (hosted in the European Union), the email service that delivers form notifications to our team, our analytics providers, and the applicant tracking and business systems we use to run the company. Each is bound by a contract that limits what they may do with your data.
- Professional advisers, insurers, regulators and law enforcement where the law requires it or where we need to protect our rights.
Because we operate from offices in the United Kingdom, the European Union, the United Arab Emirates and the United States, your information may be accessed from outside the country in which you live. Where information leaves the UK or the EEA for a country without an adequacy decision, we rely on the UK International Data Transfer Agreement or the EU Standard Contractual Clauses, together with the security measures described below. You can ask us for a copy of the safeguards in place.
We keep personal information for as long as we need it for the purpose we collected it, then delete or anonymise it.
- Website enquiries and team requests: up to 24 months from our last contact with you.
- Candidate records and CVs: up to 24 months from our last meaningful contact, so that we can tell you about roles that fit. Ask at any time and we will delete them sooner.
- Client and supplier records: for the life of the engagement and for six years afterwards, to meet our legal and accounting obligations.
- Analytics data: held in aggregated form, with Google Analytics set to its 14 month retention period.
This website sets very few cookies. The site itself does not need any to work, and nothing loads until you interact with the page.
- Plausible Analytics counts visits without cookies and without storing any personal information. It is hosted in the European Union.
- Google Analytics 4 helps us understand which pages and campaigns bring people to the site. It uses cookies to recognise a returning browser and shortens IP addresses before storing them. You can block it with your browser settings or with Google's opt-out add-on, and the site will work exactly the same.
Some pages embed content from other companies, such as LinkedIn, which may set their own cookies when you open that content. Their privacy policies apply to those cookies.
Form submissions travel to us over an encrypted connection and are stored in a database that is restricted to named SmartChoice staff and backed up every night. CVs are held in our recruitment systems, not on this website. We review who has access to what, and we train our people in handling candidate and client data carefully. No system is perfectly secure, so if you believe your information has been compromised, tell us straight away and we will investigate.
You have the right to:
- ask for a copy of the personal information we hold about you;
- have inaccurate information corrected;
- have your information deleted, where we no longer have a reason to keep it;
- restrict or object to how we use it, including for any direct marketing;
- receive the information you gave us in a portable format;
- withdraw consent at any time, where consent is the basis we rely on.
To exercise any of these, email info@smartchoice-international.com. We will respond within one month. If you are unhappy with our answer you can complain to the Information Commissioner's Office at ico.org.uk, or to the data protection authority in the EU country where you live.
